With custom fields, you can add and organize key information about projects and clients. And in Reports, it allows you to remove specific projects and clients from your metrics, so you can easily analyze a subset of your work.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Sort-people-and-resources\"><\/span>Sort people and resources<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-7042 size-full\" src=\"https:\/\/resourceguruapp.com\/blog\/wp-content\/uploads\/2024\/10\/custom-fields-sort-schedule.gif\" alt=\"Sorting people and resources using custom fields in the Schedule\" width=\"960\" height=\"847\" \/><\/p>\n<p>We recently added new sorting options to the Schedule that allow you to order your people and resources by name or job title. But those won&#8217;t always be the most relevant criteria when you&#8217;re reviewing your team&#8217;s schedule and deciding who should be assigned to each project.<\/p>\n<p>To give you even more flexibility, we\u2019ve now made it possible to sort your list of people and resources by any single select <a href=\"https:\/\/help.resourceguruapp.com\/en\/articles\/2942075-using-custom-fields-categorize-resources-by-skills-department-location-and-more\" target=\"_blank\" rel=\"noopener\">custom field<\/a> you choose.<\/p>\n<p>This will make navigating your team more efficient and flexible than ever. And it will be a game-changer for larger teams in particular, who can spend less time scrolling, more time scheduling.<\/p>\n<div class=\"callout callout--definition\">\n<p>Custom fields can be single select, multi select, or text inputs. It&#8217;s only possible to sort the Schedule using single select fields. To customize your view using multi select custom fields, use the \u201cGroup By\u201d option described below.<\/p>\n<\/div>\n<h2><span class=\"ez-toc-section\" id=\"Group-your-teams-schedule\"><\/span>Group your team&#8217;s schedule<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-7041 size-full\" src=\"https:\/\/resourceguruapp.com\/blog\/wp-content\/uploads\/2024\/10\/cutom-fields-group-schedule.gif\" alt=\"Grouping people and resources using custom fields in the Schedule\" width=\"960\" height=\"849\" \/><\/p>\n<p>Grouping is another way to rearrange your Schedule and focus on the most relevant information for the people and projects you\u2019re scheduling. It&#8217;s different to filtering and sorting as it introduces a new layout, which visually separates your Schedule into distinct groups that can be collapsed or expanded.<\/p>\n<p>It was already possible to <a href=\"https:\/\/help.resourceguruapp.com\/en\/articles\/5373171-group-by-project-or-client\" target=\"_blank\" rel=\"noopener\">group by client or by project<\/a> (which reveals <a href=\"https:\/\/resourceguruapp.com\/blog\/product-updates\/project-start-end-dates\" target=\"_blank\" rel=\"noopener\">project start and end dates<\/a>), but now grouping has been expanded to include custom fields too. You can also group by the multi-select fields that are provided by default \u2013 <em>Department<\/em>, <em>Skills<\/em>, or <em>Employee\/Contractor<\/em>.<\/p>\n<p>Grouping by custom fields offers yet another way to customize how you view the Schedule, so you can review team availability, allocate new work, and edit your team\u2019s schedule in ever more efficient ways.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Examples-and-ideas-for-customizing-your-account\"><\/span>Examples and ideas for customizing your account<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>The beauty of these new filter, sort, and grouping options is that they\u2019re based on the custom fields you add to your account. So you\u2019re in complete control. Plus, you can combine them to fully customize how your Reports and Schedule are viewed.<\/p>\n<p>Below are some ideas for ways you could leverage custom field filters, sorting, and grouping to streamline your reporting and scheduling. These examples start simple, but the customizations quickly stack up!<\/p>\n<h4>1) Analyze hours assigned to high priority projects<\/h4>\n<div class=\"callout callout--takeaway\">\n<ul>\n<li>Add a custom field that tracks each project&#8217;s <em>Priority Level<\/em> (e.g. Low, Medium, High)<\/li>\n<li>Apply it as a filter in Reports<\/li>\n<li>Now you can quickly export and analyze only the hours assigned to your most important projects<\/li>\n<\/ul>\n<\/div>\n<h4>2) Quickly identify unconfirmed projects<\/h4>\n<div class=\"callout callout--takeaway\">\n<ul>\n<li>Create a custom field that records <em>Project\u00a0Status<\/em> (e.g. Tentative, Confirmed, Canceled, Complete)<\/li>\n<li>Group by <em>Project<\/em> in the Schedule, then filter by <em>Project Status<\/em> = Tentative<\/li>\n<li>Your Schedule will now be organized by project and only show those that haven\u2019t yet been confirmed. Your next steps might be to add tentative bookings or maybe you need to chase your clients to firm up your plans.<\/li>\n<\/ul>\n<\/div>\n<h4>3) Find the most senior engineer available for upcoming work<\/h4>\n<div class=\"callout callout--takeaway\">\n<ul>\n<li>Add a custom field to capture the <em>Seniority<\/em> level of every team member, (e.g. Junior, Senior, Manager, Director, Executive).<\/li>\n<li>Group your Schedule by the default field, <em>Department<\/em>, then sort by <em>Seniority<\/em><\/li>\n<li>Now you can quickly scroll to your Engineering department and find a list of team members ordered by seniority. Finding the engineer with the experience you need is faster than ever.<\/li>\n<\/ul>\n<\/div>\n<h4>4) Organize and assign work to regional teams<\/h4>\n<div class=\"callout callout--takeaway\">\n<p>Imagine you\u2019re the Head of Delivery for the Northeast region of the US. You want to assign work to a regional project, but need an organized way to navigate your team within a company-wide list of resources.<\/p>\n<ul>\n<li>Populate custom fields for <em>Region<\/em> and <em>Office<\/em> to track where every team member is based (e.g. Northeast, Southeast, Midwest \/ New York, Atlanta, Detroit).<\/li>\n<li>Filter by <em>Region<\/em> = Northeast, group by <em>Office<\/em>, then sort by the default field, <em>Department<\/em><\/li>\n<li>Now you have a neat and tidy view of the team you\u2019re responsible for, grouped by offices in your region, and sorted by department<\/li>\n<li>For next level efficiency, you can save this view so you can jump back to the same setup at any time<\/li>\n<\/ul>\n<\/div>\n<h2><span class=\"ez-toc-section\" id=\"Availability-and-whats-next\"><\/span>Availability and what\u2019s next<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>All Resource Guru customers can customize their Schedule using default fields. But to filter, sort, or group using custom fields, you\u2019ll need to be on either our <a href=\"https:\/\/resourceguruapp.com\/pricing\" target=\"_blank\" rel=\"noopener\">Blackbelt or Master plans<\/a>.
