The not-so-secret sauce to that success is maintaining transparency. We know who\u2019s working on what and when they\u2019re working on it, and we keep the lines of async communication open.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Resource Guru has been remote since day one because we know that letting people work where they work best sets everyone up for success. There\u2019s never been a physical office in the mix, and we intend to keep it that way.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">But with a distributed team, visibility becomes even more important. At Resource Guru, one of our top remote work best practices is our focus on visibility (and transparency) in Slack.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Here\u2019s how we do it.<\/span><\/p>\n<h3><b>Avoid private Slack channels<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">In our Slack workspace, you won\u2019t see any padlocks next to the channels. That\u2019s because they\u2019re all public. From engineering to customer support, team members have access to all channels. This keeps everyone on the same page and fosters greater collaboration and encourages curiosity. For example, anyone can drop an idea into the marketing or design channels, even if they aren\u2019t part of those teams. Plus, it also allows people to give input on areas where <\/span><span style=\"font-weight: 400;\">they might have knowledge or expertise that you didn&#8217;t realize they had<\/span><span style=\"font-weight: 400;\">.<\/span><\/p>\n<h3><b>Use channels over DMs<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">We use Slack in a way that imitates sitting next to each other in an office. So, much the same way you might ask a colleague, \u201cHey, do you want to grab five minutes to talk about email campaigns,\u201d we\u2019d use the #marketing channel to simply @ the person in question rather than sending a direct message. Instead, we primarily communicate via asynchronous comments and @mentions, email, Slack, and Loom recordings\u2014whatever is the best fit for the discussion. We only schedule meetings when it\u2019s truly the best way to convey new information or work through a complex problem. And even then, we do our best to keep meetings short and sweet. (No one is perfect at this, but it\u2019s the thought that counts.)<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Keeping meetings to a minimum allows our employees to get into a flow state and do their best work. Our end goal is productivity, not just filling an eight-hour workday, and we want to encourage productivity without employee burnout.\u00a0<\/span><\/p>\n<h4><b>Tools we use to minimize the need for meetings<\/b><\/h4>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Slack &#8211; our main communication hub<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Loom &#8211; if words aren\u2019t enough, record a quick video instead of scheduling a meeting<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Resource Guru &#8211; see what the team is working on and quickly adjust workloads as needed<\/span><\/li>\n<\/ul>\n<h3><b>Respect each other\u2019s unique schedules\u00a0<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">At Resource Guru, we believe that if we put our people first, the company benefits. So, we\u2019ve always given our team the option to <\/span><a href=\"https:\/\/workforce.com\/software\/time-and-attendance\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">set their own hours<\/span><\/a><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">We\u2019ve found that asynchronous work is a win-win for everyone. People get more work done in less time because they can align their time on the clock with <\/span><a href=\"https:\/\/resourceguruapp.com\/blog\/productivity-is-personal\"><span style=\"font-weight: 400;\">when they\u2019re most focused and productive<\/span><\/a><span style=\"font-weight: 400;\">. And the data backs this up. In a study by the Aspen Economic Strategy Group, 56% of respondents acknowledged a higher productivity level <\/span><a href=\"https:\/\/wfhresearch.com\/wp-content\/uploads\/2021\/12\/Internet-Access-and-its-Implications-for-Productivity-Inequality-and-Resilience-published.pdf\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">when working from home<\/span><\/a><span style=\"font-weight: 400;\">. Strict work schedules are only good for one thing: <\/span><a href=\"https:\/\/www.stress.org\/the-stress-productivity-shortfall\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">inhibiting productivity<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Additionally, letting people work when it works for them also helps them maintain a better work-life balance, which is key to employee morale and job satisfaction. PwC\u2019s US Remote Work Survey found that 79% of employees said the flexibility of remote work helps them better <\/span><a href=\"https:\/\/www.pwc.com\/us\/en\/library\/covid-19\/us-remote-work-survey.html\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">manage family needs<\/span><\/a><span style=\"font-weight: 400;\"> like childcare.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">A big part of respecting people\u2019s different work hours is respecting the fact that they might not respond immediately to your message. This can be an initial challenge for people who aren\u2019t used to working with distributed teams, but async comms actually help to relieve stress and pressure. When you can\u2019t always get a quick answer, you gain a greater perspective on what is and isn\u2019t a crisis\u2014trust that your team members will get back to you, and things tend to work out.<\/span><\/p>\n<h4><b>Tools we use to work async:<\/b><\/h4>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Slack &#8211; our virtual office, more immediate than async<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Shortcut &#8211; a repository of every project in our pipeline, where we can collaborate internally to prevent any work from falling through the cracks<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Email &#8211; compared to Slack, this is a less urgent form of communication\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Google Workspace &#8211; a place to collaborate, see each other\u2019s work, search our content (it goes all the way back to 2012 when we started Resource Guru!), and create a single source of truth\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Figma &#8211; this is where we collaborate on all design work<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Front &#8211; the main hub for our customer service where we also invite other teammates to give input on certain cases<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">1password &#8211; give everyone access to company logins while also protecting the company\u2019s data<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Trello &#8211; collaborate and manage small projects with external contributors\u00a0<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">One of the biggest benefits of async work and documentation is that there\u2019s always a paper trail. Sometimes projects are paused or blocked, and whether <\/span><span style=\"font-weight: 400;\">you come back to something a month or a year after you first started the project, you\u2019ll have all the information you need to pick things back up.<\/span><\/p>\n<h3><b>Make the most of synchronous meet-ups<\/b><\/h3>\n<p><span style=\"font-weight: 400;\">Even though we minimize meetings, that doesn\u2019t mean we\u2019ve abandoned them entirely. They\u2019re still valuable tools for collaboration\u2014some things are just better talked out over Zoom than in a Slack thread.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">At Resource Guru, our synchronous daily standups are our key sync meetings that help our team stay plugged in and on track. We host two different Google meetings each day: one with customer success and marketing and another with engineering and product development. These meetings only last 15 minutes, which we\u2019ve found is enough time for employees to voice any questions or concerns and grab some face-to-face time with their colleagues. Research shows that <\/span><a href=\"https:\/\/www.gallup.com\/workplace\/349484\/state-of-the-global-workplace.aspx\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">most employees are not engaged at work<\/span><\/a><span style=\"font-weight: 400;\"> and want <\/span><a href=\"https:\/\/www.realestatewitch.com\/employee-unhappiness-2022\/\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">better communication from management<\/span><\/a><span style=\"font-weight: 400;\">. These meeting check-ins give us a clear space to stay connected and work through problems as a team.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Every two weeks, the entire company gets together for a sprint review meeting where each team shares news and updates to provide additional visibility into what they\u2019re working on. During this time, anyone can jump in with questions to get more context and clarity where needed. This is also a good time to flag if you\u2019ll be needing resources from another team in the upcoming weeks for a specific project or task.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The other reason we use meetings is just for plain ol\u2019 fun. Our etiquette is all about avoiding burnout and setting realistic expectations for workloads. A culture that expects employees to check work messages constantly is bad for an employee\u2019s <\/span><a href=\"https:\/\/www.businessnewsdaily.com\/9241-check-email-after-work.html\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">mental health and work output<\/span><\/a><span style=\"font-weight: 400;\">. At Resource Guru, we encourage employees to unplug when needed and take time away from work. Their Slack messages can wait until they return.<\/span><\/p>\n<h3><b>For non-urgent communication\u00a0<\/b><\/h3>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Email &#8211; the <\/span><a href=\"https:\/\/www.youtube.com\/watch?v=9ql1CQfxWxQ\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">inbox zero technique<\/span><\/a><span style=\"font-weight: 400;\"> turns our email into an ongoing to-do list instead of a slush pile that we have to sort through each time we need to touch base with someone.<\/span><\/li>\n<\/ul>\n<h3><b>For urgent communication<\/b><\/h3>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Slack &#8211; while we don\u2019t exclusively use Slack for urgent communication, we like the tagging feature for alerting someone to a new message.<\/span><\/li>\n<\/ul>\n<h2><span class=\"ez-toc-section\" id=\"Create-a-positive-remote-management-approach\"><\/span><b>Create a positive remote management approach\u00a0<\/b><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Strong employee-manager relationships are at the core of <\/span><a href=\"https:\/\/www.realestatewitch.com\/employee-unhappiness-2022\/\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">collaborative company culture<\/span><\/a><span style=\"font-weight: 400;\">, especially a remote one that may increase feelings of isolation.
