Deal with one project at a time<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">You might be tempted to pivot between projects to try to get up to speed, but a frantic back-and-forth makes it easier for things to fall through the cracks. Slow down and focus on one project at a time. Identify the most pressing projects by referring back to any out-out-of-office instructions or assignments you left for your team. If you didn\u2019t create any sort of <\/span><a href=\"https:\/\/resourceguruapp.com\/blog\/project-handover-template\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">handover<\/span><\/a><span style=\"font-weight: 400;\"> doc, start by reviewing the projects with the nearest deadlines.<\/span><\/p>\n<h3><strong>2. Create a to-do-list with tasks sorted by priority levels<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">You might feel pressure to immediately dive into the most recent crisis du jour, but that\u2019s not necessarily the most effective use of your time and energy. By reviewing all your projects first and creating a checklist of related action items and lingering questions, you\u2019re forced to see the big picture instead of just one piece. In doing so, you can take more strategic, effective action that supports your projects and team across the board.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">For each project, create a <\/span><a href=\"https:\/\/resourceguruapp.com\/features\/project-forecasting-reports\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">forecasting and resource report<\/span><\/a><span style=\"font-weight: 400;\"> to get the gist of how it\u2019s faring, get ahead of upcoming roadblocks, and answer these key questions to keep your iron triangle balanced:<\/span><\/p>\n<ol>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Cost<\/b><span style=\"font-weight: 400;\">: Are we still within our agreed-upon budget?<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Scope<\/b><span style=\"font-weight: 400;\">: Are there any new project tasks or issues with the quality of our deliverables?\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Time<\/b><span style=\"font-weight: 400;\">: Are we still on track to meet the agreed-upon deadline?\u00a0<\/span><\/li>\n<\/ol>\n<p><span style=\"font-weight: 400;\">As you thoughtfully assess your project reports and related project messages in your inbox and tools like Slack, flag issues and document the steps you need to take to resolve those problems, like an unexpected <\/span><span style=\"font-weight: 400;\">sick day<\/span><span style=\"font-weight: 400;\"> from your lead engineer or negative stakeholder feedback. These labels will help calm your brain down and keep things in perspective\u2014not every project roadblock is a Category 5 catastrophe. The <\/span><a href=\"https:\/\/slab.com\/blog\/eisenhower-matrix\/\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">Eisenhower Matrix<\/span><\/a><span style=\"font-weight: 400;\"> is a great framework, breaking things down into four clear and simple categories:\u00a0<\/span><\/p>\n<ol>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Important and urgent<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Important and not urgent<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Not important and delegate<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Not important and delete<\/span><\/li>\n<\/ol>\n<p><span style=\"font-weight: 400;\">You can create your to-do list any way you\u2019d like, but we personally like using platforms like <\/span><a href=\"https:\/\/trello.com\/\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">Trello<\/span><\/a><span style=\"font-weight: 400;\"> or <\/span><a href=\"https:\/\/todoist.com\/\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">Todoist<\/span><\/a><span style=\"font-weight: 400;\">. This way, you\u2019ll have clear visibility into which tasks still need to be addressed, and you can easily remove items as you move along\u2014there\u2019s something seriously satisfying about watching a task vanish into the digital ether that you just don\u2019t get from a pen and paper.<\/span><\/p>\n<h3><strong>3. Set up project check-in calls\u00a0<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Now that you\u2019ve established what you need to do to keep projects moving and grooving, it\u2019s time to sync with your project teams. <\/span><a href=\"https:\/\/resourceguruapp.com\/blog\/how-smart-project-managers-use-scheduling-and-communication-to-combat-project-burnout\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">Clear communication<\/span><\/a><span style=\"font-weight: 400;\"> is a cornerstone of successful projects and team morale\u2014and it\u2019s especially important post-holiday to make sure everyone is on the same page. It might feel like a total slog going into back-to-back meetings, but it\u2019ll actually give you a greater capacity to concentrate during the rest of your workday. Knocking meetings out in chunks will help you relieve some mental clutter and strain, and it gives you uninterrupted hours for productive <\/span><a href=\"https:\/\/blog.doist.com\/deep-work\/\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">deep work<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/p>\n<h2><span class=\"ez-toc-section\" id=\"Get-caught-up-on-team-capacity\"><\/span><strong>Get caught up on team capacity<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Even when you\u2019re in your regular work routine, it\u2019s unlikely you\u2019ll be able to remember everyone\u2019s availability and schedules from memory\u2014and definitely not when you\u2019re coming back from holiday. To keep your projects and <\/span><a href=\"https:\/\/resourceguruapp.com\/blog\/factors-affecting-resource-capacity-planning\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">capacity planning <\/span><\/a><span style=\"font-weight: 400;\">on track, you need to get up to speed on what everyone\u2019s working on and remedy any instances of over- or under-allocation.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This process will look different for everyone based on the tool(s) you use to keep track of your <\/span><a href=\"https:\/\/resourceguruapp.com\/blog\/resource-allocation-guide\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">resource allocation<\/span><\/a><span style=\"font-weight: 400;\">. You know that awesome holiday you just took? How would it feel if your boss overlooked your PTO until the day before you were OOO, bombarded you with questions and asked for last-minute support finding coverage? The last thing you want to do is add stress to people\u2019s plates when they\u2019re getting ready to de-stress.<\/span><\/p>\n<h2><span class=\"ez-toc-section\" id=\"Review-and-update-your-own-schedule\"><\/span><strong>Review and update your own schedule<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><span style=\"font-weight: 400;\">With all that out of the way, it\u2019s time to turn to your calendar to make your tasks are best aligned with the natural ebb and flow of your <\/span><a href=\"https:\/\/resourceguruapp.com\/blog\/productivity-is-personal\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">personal productivity<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">You\u2019re not magically <\/span><a href=\"https:\/\/resourceguruapp.com\/blog\/how-smart-project-managers-use-scheduling-and-communication-to-combat-project-burnout\"><span style=\"font-weight: 400;\">exempt from burnout<\/span><\/a><span style=\"font-weight: 400;\"> just because you\u2019re a project manager who knows all about the importance of preventing it. Just like you strive to keep your team members <\/span><a href=\"https:\/\/resourceguruapp.com\/blog\/resource-smoothing-team-performance\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">between a 70 to 80% utilization rate<\/span><\/a><span style=\"font-weight: 400;\">, that\u2019s the same sweet spot you need for maximum productivity and minimal headaches.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">It\u2019s also important to protect your time. For example, if you\u2019re someone who knows you work best before lunch but you scheduled meetings <\/span><i><span style=\"font-weight: 400;\">all<\/span><\/i><span style=\"font-weight: 400;\"> morning, you\u2019re setting yourself up for a struggle. While not every meeting is flexible, keep your calendar items and available hours <\/span><a href=\"https:\/\/resourceguruapp.com\/blog\/group-calendar-benefits\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">synced up across platforms<\/span><\/a><span style=\"font-weight: 400;\"> and visible to the rest of your team so you can stay in the zone as much as possible.<\/span><\/p>\n<h2><span class=\"ez-toc-section\" id=\"Be-kind-to-yourself-as-you-ramp-back-up\"><\/span><strong>Be kind to yourself as you ramp back up<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Treat yourself the same way you\u2019d treat any other employee who is re-adjusting to work after a nice holiday: with patience and compassion. <\/span><a href=\"https:\/\/www.healthline.com\/health\/post-vacation-blues#about-post-vacation-depression\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">Post-vacation depression<\/span><\/a><span style=\"font-weight: 400;\"> is a real thing, and you\u2019ll only hurt your own mental health more by putting pressure on yourself to immediately hit your usual productivity and focus.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you feel the overwhelming instinct to work late on your first day back, we highly,<\/span><i><span style=\"font-weight: 400;\"> highly <\/span><\/i><span style=\"font-weight: 400;\">recommend you hit the pause button on that plan. Research shows that humans only have about four, maybe five solid <\/span><a href=\"https:\/\/www.washingtonpost.com\/lifestyle\/wellness\/productivity-focus-work-tips\/2021\/05\/31\/07453934-bfd0-11eb-b26e-53663e6be6ff_story.html\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">hours of daily focus<\/span><\/a><span style=\"font-weight: 400;\">, so overtime doesn\u2019t automatically translate to productive time.
