Read the step-by-step guide below to find out how.<\/p>\n<p><strong>Before you get started:<\/strong><\/p>\n<ul>\n<li>It is not currently possible to send custom fields data for your resources when import using the template.<\/li>\n<li>Zapier wasn\u2019t designed for large data imports, and you may get errors if you try to import hundreds of rows of resources all at once. We recommend copying the resources in at a rate no greater than 100 rows every 20 minutes.<\/li>\n<\/ul>\n<p>Along with Resource Guru and Zapier, we\u2019ll also be making use of <a href=\"http:\/\/sheets.google.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Google Sheets<\/a> to import the data.<\/p>\n<div id=\"ez-toc-container\" class=\"ez-toc-v2_0_83 counter-hierarchy ez-toc-counter ez-toc-custom ez-toc-container-direction\">\n<div class=\"ez-toc-title-container\">\n<p class=\"ez-toc-title\" style=\"cursor:inherit\">In this article \ud83d\udcd6<\/p>\n<span class=\"ez-toc-title-toggle\"><\/span><\/div>\n<nav><ul class='ez-toc-list ez-toc-list-level-1 ' ><li class='ez-toc-page-1 ez-toc-heading-level-2'><a class=\"ez-toc-link ez-toc-heading-1\" href=\"https:\/\/resourceguruapp.com\/blog\/product-updates\/importing-people-using-zapier\/#The-import-process\" >The import process<\/a><\/li><li class='ez-toc-page-1 ez-toc-heading-level-2'><a class=\"ez-toc-link ez-toc-heading-2\" href=\"https:\/\/resourceguruapp.com\/blog\/product-updates\/importing-people-using-zapier\/#Setting-up-your-Zap\" >Setting up your Zap<\/a><\/li><li class='ez-toc-page-1 ez-toc-heading-level-2'><a class=\"ez-toc-link ez-toc-heading-3\" href=\"https:\/\/resourceguruapp.com\/blog\/product-updates\/importing-people-using-zapier\/#Importing-your-resources\" >Importing your resources<\/a><\/li><\/ul><\/nav><\/div>\n<h2><span class=\"ez-toc-section\" id=\"The-import-process\"><\/span>The import process<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>You will be using two spreadsheet templates for the import \u2013 <strong>Person Resource Preparation<\/strong> and <strong>Person Resource Import<\/strong>. The Preparation template provides a space to get your resources in the correct format ready for importing. Once the data is ready, you can copy it over to the Import template to get the importing process underway.<\/p>\n<p>You can find the two spreadsheet templates by following the links below:<\/p>\n<ul>\n<li><a href=\"https:\/\/docs.google.com\/spreadsheets\/d\/1ySPT8lleO12YZAP4yPxmaQ5oIWENAMuuN4B8iVF6XfI\/edit?usp=sharing\" target=\"_blank\" rel=\"noopener noreferrer\">Person Resource Preparation template<\/a><\/li>\n<li><a href=\"https:\/\/docs.google.com\/spreadsheets\/d\/1-vD5fdTKGcUdHi8xKU1aZSrB0Mg_6_vPo-435-uK2es\/edit?usp=sharing\" target=\"_blank\" rel=\"noopener noreferrer\">Person Resource Import template<\/a><\/li>\n<\/ul>\n<h3>Copying the templates<\/h3>\n<p>Start by opening the <strong>Preparation<\/strong> template in Google Sheets, and then click <strong>File &gt; Make a copy<\/strong> to put an editable copy of the template into your own Google Drive.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-1673\" src=\"https:\/\/resourceguruapp.com\/blog\/wp-content\/uploads\/2018\/10\/Make-a-copy.png\" alt=\"\" width=\"670\" height=\"250\" \/><\/p>\n<p>Next, open the <strong>Import<\/strong> template in Google Sheets and repeat the copying process.<br \/>\nYou should now have one copy each of <strong>Preparation<\/strong> and <strong>Import<\/strong> in your Google Drive. Make sure to use your copies of these spreadsheets throughout the rest of the process.<\/p>\n<h3>Preparing your project data for import<\/h3>\n<p>Open your copy of the <strong>Preparation<\/strong> template in Google sheets. Add in the details for the people you want to import to your account, using one person\u2019s details for each row of the spreadsheet.<\/p>\n<p>The <em>First Name<\/em>, <em>Last Name<\/em>, <em>Send Invite?<\/em>, and <em>Timezone<\/em> fields are required, while the rest are optional.<\/p>\n<p>If you click on the <em>Send Invite?<\/em>, <em>Timezone<\/em> and <em>Bookable?<\/em> fields a dropdown menu will appear with a list of valid options for the field. Make sure to select from one of the options listed when you are adding data to the spreadsheet.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-1674\" src=\"https:\/\/resourceguruapp.com\/blog\/wp-content\/uploads\/2018\/10\/Preparation-Template-Example.png\" alt=\"\" width=\"670\" height=\"100\" \/><\/p>\n<p>Your completed spreadsheet should look similar to the screenshot above.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Setting-up-your-Zap\"><\/span>Setting up your Zap<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Head over to Zapier and open the <a href=\"https:\/\/zapier.com\/app\/editor\/template\/29905\" target=\"_blank\" rel=\"noopener noreferrer\">Create Resource Guru person resources from new Google Sheets rows<\/a> shared Zap.<\/p>\n<p>Click the \u201cCreate this Zap\u201d button, and then \u201cContinue\u201d on the Google Sheets trigger screen. Connect Zapier to the Google Sheets account that contains your two spreadsheet template files.<br \/>\nThe \u201cSet up Google Sheets Spreadsheet Row\u201d screen will show two dropdown menus.<br \/>\nOn the \u201cSpreadsheet\u201d dropdown select your <strong>Import<\/strong> template. On the \u201cWorksheet\u201d dropdown select <strong>Import<\/strong> Template.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-1675\" src=\"https:\/\/resourceguruapp.com\/blog\/wp-content\/uploads\/2018\/10\/Set-up-Google-Sheets.png\" alt=\"\" width=\"670\" height=\"350\" \/><\/p>\n<p>Click through to test that the trigger has been setup correctly.<br \/>\nClick \u201cContinue\u201d to start setting up the Resource Guru Zap Action. If you haven\u2019t done so previously, you&#8217;ll need to connect Zapier to the Resource Guru account that is the destination for your imported resources.<\/p>\n<p>Now it\u2019s time to fill out the Zapier Action template (if you don\u2019t see the full template then click the \u201cShow advanced options\u201d link).<\/p>\n<p>Start by selecting <strong>Person<\/strong> from the <strong>Resource Type<\/strong> field dropdown menu. After selecting this option more fields will appear below.<\/p>\n<p>For the \u201cFirst Name\u201d field, click on the dropdown menu and select the \u201cFirst Name\u201d value. Follow the same process for the Last Name, Phone, Email and Notes fields.<\/p>\n<p>You\u2019ll need to do something slightly different for the Invite, Timezone and Bookable fields. For each of these fields, click on the dropdown menu and scroll through to the bottom of the options until you find <strong>Use a Custom Value (Advanced)<\/strong>. Select this option and a new field will appear. Click the dropdown menu for this new field and find the option that matches the field &#8211; for example, for the Invite field you would select the <em>Invite?<\/em> option.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-1676\" src=\"https:\/\/resourceguruapp.com\/blog\/wp-content\/uploads\/2018\/10\/Custom-value.png\" alt=\"\" width=\"670\" height=\"310\" \/><\/p>\n<p>Your completed template should look similar to the screenshot below:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-1677\" src=\"https:\/\/resourceguruapp.com\/blog\/wp-content\/uploads\/2018\/10\/Completed-Template.png\" alt=\"\" width=\"670\" height=\"600\" \/><\/p>\n<p>Click the \u201cContinue\u201d button and test the Zap. If everything has worked correctly then you can go ahead and turn the Zap on.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Importing-your-resources\"><\/span>Importing your resources<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>The final step is to copy your resource data from the data preparation spreadsheet and paste it into your Import spreadsheet, triggering Zapier to start the import process.<br \/>\nHead back to your <strong>Preparation<\/strong> template. Select all of the project data you wish to import and then open the <strong>Edit<\/strong> menu and select <strong>Copy<\/strong>.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-1678\" src=\"https:\/\/resourceguruapp.com\/blog\/wp-content\/uploads\/2018\/10\/Copy-resource-data-.gif\" alt=\"\" width=\"681\" height=\"150\" \/><\/p>\n<p>Open your Import spreadsheet and paste your copied data into the row below the column headings. Be careful to match up the copied data to the right columns.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-1679\" src=\"https:\/\/resourceguruapp.com\/blog\/wp-content\/uploads\/2018\/10\/Paste-data.gif\" alt=\"\" width=\"667\" height=\"146\" \/><\/p>\n<p>That\u2019s it! The new rows in the Import spreadsheet are going to trigger the Zap to start the import.
